Delegation Request Form

Notice of Collection 

The personal information collected on this form is collected under the authority of the Municipal Act, 2001 and will be used by City staff for the purposes of preparing agendas, minutes and contacting you with respect to the delegation request on this form. Questions regarding the collection and use of this information can be made to the City Clerk, P.O. Box 818, Stratford ON, N5A 6W1 or by telephone 519-271-0250 ext. 329 during business hours.

For convenience and efficiency, members of the public interested in delegating to Sub-committee or Council are encouraged to submit their request via the on-line delegation form. If uploading documents, the file size must be less than 2MB in size.

Contact Information

This information is collected for the purposes of notifying delegates when changes occur to the meeting or the issue they wish to address.  In addition, the City Clerk’s Office may contact delegates if clarification is required or any material submitted encounters technical difficulties.

Meeting Information

Please note: The delegation requests will be scheduled on the agenda for the next Sub-committee or Regular Council meeting or future meeting, unless it is determined that the request should be directed to the appropriate Sub-committee or City department or due to time constraints, to another meeting. Requests will be confirmed with you prior to the scheduled meeting.

Material for Distribution

Please review and confirm the following guidelines for registering as a delegation: 

• I acknowledge that this information will form part of the public record and may be made available on the City of Stratford’s website;  

• As a first time delegate on a topic, you are allowed a maximum of ten (10) minutes to outline your request or concerns. Please note as these meetings are  open to the public, they may be recorded for broadcast on Rogers TV and/or the City's website;

• To ensure compliance with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA), any and all materials to be displayed in the Council Chamber must be submitted prior to the scheduled meeting;  

• Petitions submitted at meetings open to the public are considered to form part of the public record. If you wish to submit a petition please ensure that everyone who has signed it understands that their personal information will be available to the public and will not be protected under the Municipal Freedom of Information & Protection of Privacy Act (MFIPPA).
